Front Desk Officer

We are seeking a detail-oriented and customer-focused Visitor Management System (VMS) Staff to manage the front desk office of our private security company in Bangladesh. As the VMS Staff, you will be responsible for implementing and maintaining an efficient and secure visitor management system. Your role will be crucial in ensuring the safety and security of the premises while providing excellent customer service to all visitors, clients, and employees. 

Job Responsibilities

  1. Visitor Management System (VMS) Operation:
    • Implement and manage the VMS software to record visitor information, including name, contact details, purpose of visit, and access permissions.
    • Register all incoming and outgoing visitors, ensuring accurate and up-to-date records.
    • Issue visitor badges or passes and instruct visitors on the company’s security procedures.
  1. Front Desk Reception:
    • Greet and welcome visitors, clients, and employees in a friendly and professional manner.
    • Answer incoming calls, redirect calls as necessary, and take messages when required.
    • Provide general information to visitors and direct them to the appropriate personnel or department.
  1. Security Monitoring:
    • Monitor CCTV cameras and other security systems to maintain a safe and secure environment.
    • Report any security concerns or incidents to the relevant authorities and management promptly.
  1. Access Control:
    • Ensure that only authorized individuals gain access to the premises, verifying identification and permissions when required.
    • Coordinate with security personnel to manage access control procedures effectively.
  1. Customer Service:
    • Handle inquiries and complaints in a courteous and efficient manner, ensuring a positive experience for all visitors.
    • Assist in resolving customer issues and direct complex inquiries to the appropriate personnel.
  1. Administrative Support:
    • Assist in various administrative tasks, such as data entry, filing, and managing office supplies.
    • Support other office staff and departments as needed.
  1. Emergency Response:
    • Be prepared to act calmly and efficiently in emergency situations, following established protocols and procedures.
    • Report emergencies to the appropriate authorities and management immediately.
  1. Compliance and Record Keeping:
    • Ensure compliance with company policies and procedures related to visitor management and security.
    • Maintain accurate records of visitor logs, incidents, and any other relevant documentation.

Educational Requirements

  • Bachelor in any discipline from any reputed university will be given preference.

Experience Requirements

  • 5 to 7 year(s)

Additional Requirements

  • Male and female’s candidates are allowed to apply.
  • High school diploma or equivalent. Additional education or certification in security management or a related field is advantageous.
  • Proven experience in a front desk or customer service role, preferably in a security-related setting.
  • Familiarity with visitor management systems, access control, and security procedures is a plus.
  • Excellent interpersonal and communication skills, with proficiency in English and Bengali.
  • Strong attention to detail and the ability to handle multiple tasks efficiently.
  • Customer-oriented mindset and a commitment to delivering exceptional service.
  • Basic computer skills and knowledge of office software, such as Microsoft Office Suite.
  • Ability to remain composed and handle stressful situations with a calm demeanor.
