Administrative Assistant

We are seeking a highly organized and proactive Administrative Assistant to provide crucial support to the management team of our private security company in Bangladesh. As the Administrative Assistant, you will play a pivotal role in ensuring the smooth functioning of daily office operations, assisting in various managerial tasks, and maintaining effective communication within the organization. Your dedication to efficiency and attention to detail will be instrumental in supporting the management team and contributing to the overall success of the company.

Job Responsibilities

  1. Administrative Support to Management:
    • Assist the management team in handling day-to-day administrative tasks, such as managing calendars, scheduling appointments, and coordinating meetings.
    • Prepare meeting agendas, take minutes, and follow up on action items to ensure timely completion of tasks.
    • Handle incoming calls, emails, and correspondence on behalf of the management team.
  1. Document Management:
    • Maintain and organize physical and electronic files, records, and documentation related to management activities and projects.
    • Ensure efficient retrieval and storage of documents to facilitate seamless decision-making.
  2. Communication and Coordination:
      • Act as a liaison between the management team and other departments, employees, and external stakeholders.
      • Prepare reports, presentations, and documents for meetings and presentations under the guidance of the management team.
      • Facilitate effective communication flows throughout the organization, conveying messages accurately and promptly.
  3. Data Entry and Analysis:
    • Accurately enter and update data in relevant databases and spreadsheets.
    • Assist in data analysis and report generation to support management decision-making.
  4. Office Management:
    • Monitor and manage office supplies, ensuring an adequate inventory is maintained at all times.
    • Coordinate office equipment maintenance and repairs as needed.
  1. Financial Support:
    • Assist in basic financial tasks, such as processing invoices, expense reports, and petty cash management.
    • Collaborate with the finance department to reconcile financial records and maintain financial accuracy.
  1. Project Support:
    • Provide administrative assistance in various projects led by the management team, ensuring deadlines and deliverables are met.
  1. Travel Arrangements:
    • Coordinate travel arrangements, including flight bookings, accommodations, and transportation, for the management team.
  1. Confidentiality and Integrity:
    • Maintain the highest level of confidentiality in handling sensitive information related to management activities and the company.
    • Handle sensitive documents and information with discretion and integrity.

Educational Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field is preferred.

Experience Requirements

  • 5 to 7 year(s)

  • Proven experience as an Administrative Assistant or in a similar administrative role, supporting management-level positions.
  • Excellent organizational and time management skills to handle multiple tasks and prioritize effectively.
  • Strong attention to detail and accuracy in data entry and record-keeping.
  • Effective verbal and written communication skills in English and Bengali.
  • Proficiency in using office software, such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Discretion and integrity in handling confidential information.
